Leaving a legacy: exploring the link between digital preservation and environmental sustainability Digital Preservation Coalition, United Kingdom Short Description Environmental sustainability is a shared challenge. And, in our work as digital preservationists and archivists, we must ask: what kind of human - and environmental - legacy will we leave? This paper examines the link between digital preservation and environmental sustainability and covers four themes: 1. The digital preservation challenge 2. Digital preservation as environmental sustainability 3. The environmental footprint of digital preservation 4. An agenda for action Abstract This paper examines the link between digital preservation and environmental sustainability, based on the groundbreaking work of Digital Preservation Coalition (DPC) members, supporters, and allied organizations around the world, who have generously shared their findings with our community of practice. The paper defines the nature of the digital preservation challenge as it pertains to environmental sustainability before exploring recent relevant research and initiatives and concluding with a set of practical actions which may be applied by any archivist or digital preservation practitioner wishing to effect change within their organisation. As a community, the Digital Preservation Coalition provides a platform for discussion and debate across the global digital preservation community and works closely with colleagues at the International Council on Archives (ICA). The challenges we face are shared and they are global and if we are to tackle them effectively, we need a community which is scaled to match. Environmental sustainability is one of the challenges we face together. The immediacy, the significance, the size and the legacy of the environmental risks we are taking is unprecedented. So, as with our work as digital preservationists and archivists, we are confronted with a question: what kind of legacy will we leave? This paper covers four themes: 1. The digital preservation challenge: Understanding what is required to undertake digital preservation highlights important environmental consequences for the actions that we take and the choices we make. 2. Digital preservation as environmental sustainability: Digital preservation is fundamentally a question of human and environmental sustainability. Digital preservation can be part of the sustainability we seek and can make a distinctive contribution to environmental protection. 3. The environmental footprint of digital preservation: This paper will present examples of tools and recent relevant research which has helped the DPC, and its members, understand and make changes to improve our own environmental impacts. 4. An agenda for action: this will aim to ensure that digital preservation is better aligned within programs that are seeking to embed sustainability in our lives, and that environmental sustainability is embedded within digital preservation. OFD/A: A new format for archival long-term preservation The Institute of Scientific and Technical Research on Archives, The State Archives Administration of China, China, People's Republic of Short Description OFD is a fixed-layout document format developed by China for document storage and exchange. Based on this format, another fixed-layout document format, OFD/A, has been designed specifically for the long-term preservation of digital archives and has been released as a Chinese national standard in 2022. This article introduces the application scenarios and application status of the OFD/A format, analyzes its technical characteristics and discusses four main methods of generating OFD/A files. Abstract OFD (Open Fixed-layout Document), a fixed-layout document format developed by China for document storage and exchange, is showing prominent advantages in application convenience and security control. Based on this format, another fixed-layout document format, OFD/A, has been designed specifically for the long-term preservation of digital archives and has been released as a Chinese national standard in 2022. This article discusses the value of OFD/A format in the long-term preservation of digital archives and analyzes its technical characteristics in aspects of file structure, content storage, graphics, images, text, and signatures and seals, complying with the requirements that long-term preservation formats for electronic files need to meet, such as format openness, file self-containment, format self-description, and display consistency. It also introduces the application scenarios and application status of the OFD/A format, discusses four main methods of generating OFD/A files: flow document conversion, image conversion, PDF conversion, and virtual printing. Compared with the PDF/A format, the article concludes that both OFD/A and PDF/A are reliable formats for archival long-term preservation, while the OFD/A format has the advantages of lower technical threshold, supportive of the basic set of fixed-layout technology, simple system, and easy implementation. Organizing to preserve: born-digital documents from the architectural records of the architect João Álvaro Rocha 1University of Minho / Distritc Archive of Braga, Portugal; 2Autónoma University of Lisbon / Autonóma Academy - Graduate School of the Autónoma University of Lisbon Short Description The project of organizing the architectural records from the former office of the architect João Álvaro Rocha is still on going. Now turned into an archive and place of study, with this paper we will give you a glimpse of what has been done, so far, regarding born-digital documents that were created there, since the 90’s. Abstract The lack of a national policy on standards for the acquisition, evaluation and organization of architectural records means that the organization and preservation of these archives are at the mercy of the knowledge and sensitivity of the archivists. The process of organizing a private architecture archive should also be set, whenever possible, by the standards and good archival practices that exist for public archives. Throughout this paper, we intend to demonstrate the work developed in the organization and classification of the digital-born documents produced in the former office of the architect João Álvaro Rocha. Demonstrating the stages, classification and internal structure of the born digital architectural projects that were left by the architect, we will show how much work had to be done between archivists, computer scientists, architects and the institutions responsible for these records. Concerned with the longevity of the preservation of these objects, these institutions implemented measures in this matter, in order to assure its interoperability and access. La gestió documental a l’àmbit sanitari: el viatge de la història clínica a la dada de salut. Servei Català de la Salut, Espanya Short Description Aquesta comunicació fa una presentació del que ha suposat la transició del model docucèntric al model datacèntric dins de l’àmbit sanitari, des del punt de vista de la gestió documental i especialment centrat en l’àmbit de la història clínica. Abstract Aquesta comunicació fa un viatge des de les primeres necessitats de documentar l’atenció sanitària per part dels metges mitjançant les fitxes clíniques fins a les més modernes històries clíniques digitals on hi participen diferents professionals sanitaris, com per exemple la Història Clínica Compartida de Catalunya i l’Historial Electrònic de Salut. Partint del concepte d’història clínica establert per l’OMS, la comunicació fa un repàs a les diferents evolucions que ha sofert la documentació sanitària i la seva interrelació amb el paper protagonista del metge clàssic i que ara es centra en el pacient. També es parla de l’evolució de la visió del metge cap als grups multidisciplinaris on hi són la resta de professionals sanitaris que també intervenen en un procés assistencial. En aquest context, la gestió documental té un paper fonamental atès que els principis arxivístics ajuden a mantenir les característiques dels documents i per extensió de les dades sanitàries en termes d’autenticitat, fiabilitat, traçabilitat i confiança en les fonts. D’altra banda, les qüestions relacionades amb la protecció de les dades sensibles, especialment pel que fa a la conservació, l’accessibilitat i la regulació dels drets ARSOPOL, cada vegada guanyen més pes en aquest àmbit. Per últim, la interoperabilitat i la transició de la història clínica tradicional en suport paper cap a suports digitals comporta el repte de planificar i implementar un model datacèntric basat en la dada enfront del model docucèntric més clàssic, centrat en el document. | ||
