This session will provide a step by step guide on how to set up smart and secure archiving, backed by real-life case studies. From AI and auto-classification through to retention automation and granular security, this overview of key archival concepts should leave you confident in how to safely and efficiently archive your data.
The session will focus on process and methodology but also provide technical examples.
Abstract
The ICA’s mission is to empower archivists and ensure that records, past and present, remain a vital resource for future generations. Whether in the case of managing memories and preserving identities; in situations of conflict, displacement, and disaster; or in a multitude of scenarios that aim to keep records safe and yet accessible, the objective of the archivist is clear.
We know what and why, but the “how” evolves constantly with new technology and methodology, leading to a task that can feel overwhelming especially when faced with growing quantities of data. The requirements are many, as archivists must look towards the future with solutions that remain accessible.
Speaking with archivists across the world, we have collected the standard concerns and roadblocks that archiving projects face.
Supporting successful projects across the world, we have researched what makes a project successful.
Join us in this session as we review the key aspects of archiving, and suggest methodologies and technologies that meet these archival requirements. We shall explore everything from AI, automatic classification, smart retention, granular security, legal matters, collaborative access, cloud versus on premise software, interfaces for end users, and much more.
The session will also include case studies of successful archiving projects.

We will demonstrate four key use cases for digital transformation across the globe, in North America, Europe and Australia. The use cases span local government, education, and a global intergovernmental organization.
Abstract
We will show digital transformation initiatives in the Australian education sector to modernize records and information management using OpenText Content Manager. Wodonga TAFE showcased its five-year journey to Content Manager 23.4 Cloud, successfully integrating and cleaning up over 1,600 unused SharePoint and Teams sites to significantly boost records collection compliance. The NSW Education Standards Authority (NESA) presented its Records ReMAP program, which focuses on a three-pillar strategy encompassing technical reconfiguration, user enablement, and records maturity advancement using the ARMAT framework. Ultimately, both organizations adopted customer-centric approaches to build simple, integrated systems that ensured staff adherence and achieved higher regulatory compliance. And we will share details of the digital transformation from use cases of a North American city and global intergovernmental organization.
