Conference Agenda

Since the collaborative development of the AI4LAM strategic roadmap at the Fantastic Futures workshop in Vancouver (November 2023), the AI landscape has evolved rapidly. This workshop offers a timely opportunity to reflect on the roadmap’s relevance, assess the scale of change in AI adoption across the GLAM sector, and collectively identify challenges and opportunities for 2025 and beyond.

Structured as a World-Café style session, the workshop will consist of three discussion rounds, each centered on one of the roadmap’s four priority areas: access and discovery, data and workflows, ethics and accountability, and leadership and resourcing. Participants will choose a table based on their interest and engage in facilitated conversations through speaking, writing, or drawing.

This session is designed for attendees of all experience levels, especially those new to the AI4LAM community. While no new technical knowledge will be taught, the workshop will provide a valuable forum for reflection, peer learning, and strategic alignment. Attendees will be encouraged to read the 2023 Roadmap Report (https://archive.org/details/roadmap-report-for-ai-4-lam-2023) in advance and contribute stories from their institutions’ AI journeys.

Participant Contributions:

• Attendees will have the opportunity to contribute insights before and after the workshop via shared documents and discussion threads.

• Contributions will be synthesized into a final report and short paper, with all contributors invited to be listed as co-authors.

Outcomes:

1. Reflect on collective priorities and strategies for AI in GLAM.

2. Take home actionable ideas to better understand the impact of AI technologies at their institutions.

3. Gain perspective on shared challenges and potential solutions.

4. Join an ongoing conversation with peers across the AI4LAM community.

Level of Experience Required: Beginner – no prior technical experience required.

Technical Requirements: No software installation is required. All activities will be conducted using analog materials (poster paper, markers).

Timetable:

Introduction & Context (10 mins)
Welcome and overview of workshop goals, including a recap of the 2023 Vancouver roadmap:

• Ethical integration

• Staff training and AI literacy

• Vendor/tool guidelines

• Communities of practice

• Project alignment with LAM values

Breakout Discussions (40 mins)
Small groups (aligned with topic areas) explore:

• Round One – Past: Institutional or field advancements

• Round Two – Present: Emerging challenges and roadmap relevance

• Round Three – Future: Priorities for the next 1–2 years

Notes captured via shared documents or physical materials.

Group Reporting & Synthesis (10 mins)

• Each group shares key insights and future priorities. Facilitators lead a synthesis discussion to identify common themes and potential updates to the roadmap.
